Privacy and Cookie Notice
Your data is important. It’s important to us, and we understand that it’s important to you. ITV is committed to safeguarding your information in line with applicable data protection laws. We also want to be transparent about what information we collect about you, how we use it, and how you can control what we do with this information.
About this notice
This privacy and cookie notice (this “Notice”) covers how ITV Services Limited and/or its affiliates (“we,” “us,” “ITV” and “our”) collects, uses, and shares the personal data of users of the Event microsite (“the Site”) and attendees and members of the panels at the Event ("you" and "your"). This information will be used by ITV and our technical service providers for the purpose of running ITV’s Mental Health in Media 2.0 Event 2025 (“the Event”). We’ve set out below in more detail what information we collect about you, how we use that information, and the rights and choices you have in relation to our processing of your personal data. Please read this Notice so you know what we are doing with your information.

What information do we collect?
The information we collect about you depends on how you’re interacting with us.
If you are an attendee or member at one of our panels we ask you to provide some basic information about yourself, such as your name, email address and job title, which we call “Registration Data”. If you decide not to complete the registration process, any personal data that we have collected will be deleted.
We may also collect information when you contact us to provide feedback or make a complaint through the Site, at the Event or otherwise in the organisation and operation of the Event. This may include the collection of sensitive personal information that you have disclosed to us voluntarily, such as data concerning your health, ethnicity or sexual orientation. Providing sensitive personal information is always voluntary. Where you have consented to share such information with us, such as to assist us with any accessibility issues, you may withdraw your consent at any time by emailing us at socialpurpose@itv.com.
With the exception of the Safeguarding Stories panel, which will not be recorded, all other panels will be recorded. This means that the names and images of panellists will be captured in the recordings, as well as any other personal information they may share during the Event. Attendees may also wish to submit questions during the Event via sli.do, and, as part of this, they may voluntarily publicly disclose personal data about themselves, including information about their health, sexual orientation, political opinions, etc. Such information may be recorded as part of any applicable Event recordings.
Some events will feature a moderated Q&A. If you choose to interact with the Q&A your comments may be shared with others at the Event and may also form part of any applicable recordings.
If a panel is being recorded, we will always notify you in advance.
When and how do we collect information?
We (or our authorised third parties) may collect information about you:
- when you confirm your place as a panellist or register your interest as an attendee;
- when you update your details via the Site or otherwise;
- when you contribute during the Event, including by asking a question via sli.do and/or through the poll functionality;
- when you contact us or provide us with information through the Site or otherwise at any other point (for instance, when you contact us with an enquiry, request or feedback);
- when we are checking compliance with applicable laws;
- from third party suppliers who have confirmed to us that they are authorised to pass your information to us in accordance with your legal rights.
How will we use your information?
We use your email address to provide you with the event details. This will include information about any recording taking place. For recorded events we may email you a link to the recording once the Event has concluded.
For some events we may publish the recording on our Site so this is accessible to a wider audience. If an event recording is to be published, we will always notify you before the event.
We don’t publish delegate lists for our Event but, if you choose to submit a question via sli.do, your name, email address, and any other information that you may share may be visible to others in attendance during the Event.
We may contact you after the event to provide you with a recording of the material that was presented in the panel session you registered to attend and a poll to review the Event. You have the right to decline this and ask us to not contact you after the event by emailing us at mentalhealthinthemedia@itv.com.
How long do we keep your information for?
We will keep your personal information only where we have an ongoing legitimate or lawful need to do so. The length of this retention period depends on the purpose for which the information was obtained and its nature. For example:
- We will keep attendees email addresses for 6 months and any recordings of the Event will be archived after 12 months.
- We may need to keep some personal information about you so that we can deal with any complaints you might make about the Site, the Panel or our services, or to respond to any data subject rights request.
- We may need to keep personal information so that we can defend possible future legal claims.
When we no longer have a legitimate or lawful need to keep your personal data, we will delete it or anonymise it.
Do we use any third parties?
We use Zoom to facilitate the registration process and deliver our virtual panel sessions for the Event. Should you decide to attend one of our virtual panel sessions, you need to sign-up to their platform, and for their use of the service they will be the data controller. How do we use your information?
We and our authorised third parties will only process your personal data where we have a legal basis to do so. For example, we may use your information to:
- verify your identity when you register as an attendee or panel member;
- administer and manage the Site and the Event;
- create anonymous, statistical profiles of participants based on the information provided by you and other members of the Panel;
- send you a follow up email containing a presentation or a summary of the information that was presented in the panel(s) that you attended;
- monitor compliance with and investigate any suspected breach of applicable laws.
We’ll only process your personal information where we have legal grounds to do so. We may have a legitimate interest, a contractual and/or legal obligation in using your personal data for the purposes noted above. We may have a legitimate interest in retaining copies of the recordings of the Event for educational and/or promotional purposes, in light of our role as a public service broadcaster that undertakes and complies with a duty of care as established under applicable laws.
What are your rights?
Any personal information you supply will be treated in accordance with applicable data protection laws and any other applicable or superseding legislation. We are committed to respecting the rights to which individuals are entitled. These include:
- the right to request a copy of the personal information we hold about you. To do this, please contact us at myprivacy@itv.com making clear that you are requesting a copy of your personal information and including full details of what you require. You may also be required to submit proof of your identity.
- the right to object to your personal information being processed where the legal basis for the processing is ITV’s legitimate interests as a business (see “How will we use your information?” section above). We will comply with such a request unless there is a lawful reason for not doing so, such as when we need to continue to process your information to defend a legal claim.
- the right to rectification. You may request that we correct any inaccurate and/or complete any incomplete personal information.
- the right to withdraw consent. Where we are processing your personal information on the basis that you have given us your consent to do so, you may withdraw your consent at any time by contacting us at socialpurpose@itv.com
- the right of erasure. Where permitted by applicable data protection laws, you may request that we erase your personal information and we will comply, unless there is a lawful reason for not doing so.
- the right to data portability in certain circumstances.
- the right to restrict processing in certain circumstances.
- The right to lodge a complaint with the supervisory authority. We suggest that you contact us about any questions or if you have a complaint in relation to how we process your personal information. However, you have a right to lodge a complaint with the Information Commissioner’s Office in the United Kingdom (“ICO”). Details of how to contact the ICO can be found on the ICO website at ico.org.uk.
What this Notice does not cover
This Notice does not cover the collection, use, or sharing of personal data by companies, services or applications that we don’t own or control, or people that we don’t employ or manage. This includes (without limitation) third party websites that are linked to our Site.
Also, it doesn’t cover certain pages and services provided via our Site that are hosted, managed and operated by other parties. These third parties, applications and services are wholly independent of us and are solely responsible for all aspects of their relationship with you and any use you may make of them. They may have their own privacy notices and/or terms and conditions of use, which we recommend you read before using.
Service providers based outside of the UK
As much as possible, we will process your data within the UK or the European Economic Area (“EEA”). If we do engage a new supplier located, or with servers that are located, outside the UK or the EEA, then we will ensure that your personal data is sent to a country with an adequacy decision issued by the UK government and/or appropriate safeguards are in place, as required under UK data protection laws.
This means we only transfer your personal data where it is permitted under UK data protection laws. The main transfers take place if:
- the UK government has determined the country has an adequate level of data protection,
- standard data protection clauses (which have been ‘adopted’ by the UK Government or European Commission) are in place with the service provider or third party, or
- we can rely on one of the specified exceptions.
We may also take steps to identify and use additional protections as appropriate for each data transfer. For example, we may require the use of technical protections, such as encryption and pseudonymisation (which means making sure personal data can no longer be linked to you without the use of additional information).
Cookies and similar tracking technologies
This section describes how cookies and similar technologies are used to support the website, and the controls that you may have in relation to our website’s use of such technologies. Please note that we may also use other technologies that do not rely on cookies to store or access information on your device.
What are cookies and similar technologies?
- cookies are small text files stored by your browser (a browser is the software on your device which enables you to access the internet). The cookie stores a unique identifier (a string of random characters) so that your browser can be singled out from other browsers to show you the information you want . And it is often used to link your browser to databases that hold data about your online behaviour and inferred interests, along with other data such as your IP address or device ID,
- other types of storage, such as local or “HTML” storage. Some of our services use local storage technologies that are similar to cookies but enable larger amounts of data to be stored. This means we can store information like your preferences on your device rather than on our own systems, and
- pixels are embedded code to recognise your browser and record your interactions with emails, online content or ads.
From now on we will refer to these technologies collectively as ‘cookies’. Cookies are typically used by websites or where apps have embedded web browsers which allow them to access the internet.
Why do we use cookies and what types of cookies do we use?
Essential: these cookies are necessary for our service to work. Without these cookies, we can’t provide you with our core functionalities and associated services such as page load and security, and help to improve your experience and so these are not optional. Some of these types of cookies also provide you with features which you choose to use. They may also help with the following:
- to keep our site and your personal data secure (manage bots and page load),
- we may collect data on how you use our services in order to make improvements and to identify and fix any technical issues.
